Terms & Conditions
When you submit a booking via our online reservation system you will receive an automatically generated booking summary by email to the email address you provide on the booking form. At this point there will be no contract between us and the booking should be considered provisional.
A contract shall only arise when a deposit or full payment has been received and your booking is confirmed to you by post or email.
Payment - can be made via our secure online booking system using most debit/credit cards, or by BACS, cheque or cash.
• Card Payments - Card details are kept securely online and reserved for payment of the Balance. If you pay the Deposit online using your card, the Balance can still be paid by other means and your card details will then be cancelled.
• BACS payments - Should be made to the Co-Operative Bank using the following details:
Account Name - Hidelow House Cottages, Sort Code - 08-92-99, A/C No. - 69338933.
• Cheques - Only a single cheque per payment of Deposit or Balance, by the person making the booking, can be accepted. Multiple cheques from different people are not acceptable.
Deposit - a non-refundable deposit of one third of the basic holiday price is payable upon booking.
The Balance - of the holiday cost should be paid 6 weeks before the holiday start date, together
with any applicable Security Deposit (see below). For bookings created within 6 weeks of the
holiday start date, the full cost of the holiday plus any Security Deposit is required upon booking.
Hire Start Day:
Weekly Rentals - The Farmhouse and The Cider House weekly rentals start on a Friday; the
Start day for all other cottages is normally Saturday.
Short Breaks - normally Friday to Monday and Monday to Friday (but may be at any time at our
discretion – please phone). Short Breaks may be booked in advance for most times of the year.
Check-in and Check-out Times – Check-in is strictly from 4pm on the day of arrival and Checkout is 10am on the day of departure. This enables us to adequately prepare the cottages for yourselves and for subsequent guests and we ask you to respect these times.
Cars - Parking space, whilst plentiful, is none-the-less limited and you are asked to car-share if at all possible. Cars in excess of the number of allocated spaces for each cottage will have to be parked outside the designated car parking area and may be some distance from your cottage.
Car Parking allocation (maximum):
The Farmhouse - 6 cars; The Cider House - 4 cars; Hidelow Lodge - 2 cars; Katherine's Cottage - 2 cars; Hopbine - 1 car.
Pets – most dogs are welcome, with the following proviso:
- Pets are allowed in The Farmhouse and Cider House at our discretion only.
- Dogs must not be left unattended in the cottages at any time unless caged
- Must not be allowed on the furniture or in bedrooms.
- They are not to be allowed outside without a supervising adult.
- You must not permit your dog to relieve itself in our gardens - our fields are at your disposal for this purpose. Any mess must be cleared up and disposed of by you.
- Your pet must always be cleaned and dried before entering the property. Please bring pet towels for this purpose.
- Noisy, yapping dogs are not welcome.
- Please ensure that none of your party brings a pet without our prior knowledge, as refusal on
- arrival may cause offence.
Occupancy - Under no circumstances may more people occupy (sleep in) the property than the
maximum number stated on our website and on the booking form. We reserve the right to require
additional people to leave.
Day Visitors - are welcome, but please notify us if you wish friends or relatives to visit you by
day, so that we can ensure you have the equipment you may need (crockery, glassware etc).
Only people identified on the Booking form may use cottage and site facilities, including hot tubs
Responsible Person - There shall be a nominated Responsible Person for each booking who
must accept responsibility for all payments and who will complete and sign the Booking Form.
The Responsible Person shall identify every member of their party on the Booking form.
The Responsible Person shall ensure that the cottage(s) are returned to us in the same clean
and tidy condition which they were in when they commenced their holiday.
The Responsible Person shall be responsible for the safety of the fabric and contents of the
cottage(s) and make recompense to Hidelow House Cottages for any damage and extraordinary
cleaning costs incurred during the rental period.
Security Deposit - The Responsible Person will be personally liable for any damage to the
property and for any breakages. Payment for any damage will be requested upon vacation of the
property, or as soon as is practical afterwards. When renting The Farmhouse or The Cider
House, a Security Deposit of £250 set against accidental damage &/or excessive cleaning costs,
is payable either with the balance of rental or with the full rental payment; this is refundable in
full, less the cost of any damage, normally within 7 days following guests’ departure.
For groups under 25 years of age, an additional Security Deposit of £250 may be applied at our
Failure to comply with the above Terms and Conditions may result in the loss of your
Security Deposit (where applicable).
Whilst every effort is made to obtain an alternative booking in the event of a cancellation,
unfortunately it is not always possible to do so. It is with regret, therefore, that if you have to
cancel within 6 weeks of your holiday, or if you have to curtail your holiday once you have
arrived, we are unable to refund your holiday costs. In the event of you cancelling your holiday
more than 6 weeks prior to your start date, only your deposit is non-refundable. In the event of
you having to cancel your booking, if we are able to do so, we will try to re-let the property; if we
succeed in doing so, we will refund to you a proportion of the rental you have paid (amounting to
whatever rental we have been able to to obtain less our admin costs.)
Holiday Cancellation Insurance
It is strongly recommended that you take out Holiday Cancellation Insurance, either through us
(information available on request or download application form) or with an independent agent,
thus avoiding further disappointment and distress.
In the event of your holiday being cancelled or curtailed by us for reasons of fire, flood or similar
natural or unavoidable event, we guarantee to offer you an alternative holiday or refund of
